Associate Payroll and Pensions Coordinator

Position Summary

To be responsible for ensuring all activities are carried out in line with the relevant regulations and related business calendars, adhering to SLAs as appropriate, whilst also delivering an accurate and first class, on time service to the Associates.

Key Role-Specific Deliverables

  • To support the end to end weekly payroll cycle for c.30k Associates
  • To operate within all relevant regulatory requirements including Sarbanes Oxley, DWP & HMRC
  • To prepare and quality check payment files for the weekly Associate payroll to deadline
  • To prepare and adhere to a schedule of work for each area of responsibility feeding into departmental business calendars as appropriate
  • To ensure that systems and fees are set up correctly ahead of processing i.e. iSeries, IQS, ADP Freedom and the Associate fee matrix
  • To respond to Associate queries within SLA and using an appropriate tone of voice
  • To handle all administration associated with areas of responsibility
  • To support the payroll end of year process and the distribution of P60s as required
  • To undertake the processing of exceptional payments, including International/Expatriate, foreign currency and suppliers
  • To process Associate expenses within SLA, checking for validity of claim and applying travel & subsistence policy as required
  • To feed into business change initiatives as directed by the AP&P Leader
  • To support the end to end weekly pensions cycle for c.30k Associates
  • To address and resolve any eligibility/deductions/contribution issues encountered within the weekly pensions cycle
  • To build & maintain positive working relationships with third party suppliers such as ADP, NEST, IBM and Capita

Previous Work Experience


  • Experience in a customer-facing role
  • Experience of dealing with high volume and complex data
  • Experience of working in a constantly changing environment
  • Experience of carrying out activities with limited supervision


  • Experience of working in a global payroll team
  • Experience of operating a UK workplace pension scheme

  • Awareness of regulations and legislations around payroll and pensions, including DWP & HMRC

Systems, Tools & IT Literacy


  • Proficient in the use of Microsoft Office suite including Word & Powerpoint
  • Intermediate Microsoft Excel including the use of features such as pivots & lookups


  • Knowledge of Pearson company specific databases and systems
  • Knowledge of Payroll software/application
  • Basic accountancy knowledge

Education, Qualifications & Training


  • Degree or relevant equivalent vocational qualification


  • Accountancy/Finance related qualification
  • Payroll related qualification
