About the Job

This is an exciting new administrative position within the expanding Online Programme Management division (OPM). The OPM department works with world-leading universities throughout the UK to take their qualifications online, enabling them to reach global audiences in the comfort of their own homes.

The role is based out of Central London (with occasional working from our Harlow office when required). The post-holder will provide executive administrative support to the Head of Partnership (HoP). They will be responsible for the provision of appropriate and timely advice and briefings to the HoP on all areas of their work extending across the internal team as well as the university partner and its stakeholders.

About the Person

This role will suit a strong PA/Administrator/Co-coordinator with experience in a similar role, who is prepared to tackle a varied workload with excellent organisational skills. Experience in diary management, clear note taking with a willingness to drive completion of actions, and a flexible working attitude are essential.

Key Accountabilities:

  • Provision of daily, administrative support for the Head of Partnership and the wider team.
  • Extensive diary management, including all internal and external engagements across the partnership team. Booking of meeting rooms and organisation of catering.
  • Distribution of all partnership documentation including, but not limited to, process documentation, data performance reports, critical date summaries, Operations meetings and Executive Level Board agendas, presentations and taking of minutes.
  • Following up internal and external parties on outstanding actions identified in meeting notes to ensure deadlines on actions are met.
  • Financial management to include: Budget tracking, invoicing and expense management.
  • Onboarding/Inductions/desk management of new staff for London OPM based employees.
  • To be the administration anchor between London and Harlow offices by working closely with the Harlow administration team.
  • Coordination of various projects to improve the student experience, sales effectiveness and/or student retention.
  • Support Partnership student recruitment and retention activities to drive increased student enrolments including assisting with workflow development, optimisation, partnership stakeholder communication and follow up.


What we are looking for in you

  • Positive outlook with the ability to ensure the team culture is positive, professional and solution focused.
  • Strong administrative background - Managing Director or similar level (desireable).
  • The ability to be flexible with work locations, London and Harlow.
  • Experienced minute/note taker
  • Proven strong diary management and organisational skills.
  • Ability to easily prioritise, multi-task and stay calm under pressure.
  • Stakeholder management experience.
  • Strong Microsoft Office skills particularly PowerPoint.
  • Knowledge of Google suite (desirable).
  • Salesforce experience (desirable).
