SUMMARY:

Performs broad, varied administrative duties and other responsibilities for a department or function. Prepares correspondence, reports and conducts special projects as directed. May coordinate meetings, conferences, presentations, travel arrangements and perform other administrative work. Uses a personal computer and is proficient in the use of more than one software package including spreadsheets, graphics, presentation, word processing, etc. May compose correspondence of a routine nature.

DETAIL:

Position works under the direction of the VP, Product and Distribution Capabilities, in Global Product to provide strong administrative support to that group as well as to the Learning Design/User Experience teams. These are large teams, including some 50 and 120 employees, respectively.

Sets up meetings involving participants in multiple time zones and geographic areas and arranges logistics for telephone and video conferencing. Some town halls involve more than 100 participants.

Arranges travel, including booking hotels and car service or rental. Books meeting rooms and arranges catering at 501 Boylston and other Pearson locations.

Handles expense reporting in Oracle ERP for several key executives. Under delegated authority from manager, reviews and approves expense reports. Helps all team members navigate the expense reporting system.

Serves as point person for processing of invoices and works with Accounts Payable to bring about payment as quickly as possible. Works with Finance contacts in Belfast and elsewhere to resolve difficulties.

Assists in tracking travel and other expenses via Google spreadsheets.

Collaborates with Human Resources to set up interviews of job candidates and to onboard new employees. Helps procure equipment and supplies as needed.

Helps colleagues in obtaining corporate credit cards and finding information related to tuition assistance and a wide range of company benefits.

Maintains team distribution lists in Google groups and updates organization charts.

Provides historical reference by recording meeting discussions and maintain digital files.

Qualifications

Requirements:

  • 5 years of administrative support experience, 2 years at executive level
  • Experience in a technology company, working in a dynamic, fast-paced, matrixed organization
  • Excellent computer skills and knowledge of Microsoft office software packages
  • Knowledge of Oracle system preferred
